We collect information about you when you complete our online enquiry form, content download form or request a free trial form. We also collect information when you contact us by email with an enquiry or request for support. Website usage information is collected using Cookies.

What is a Cookie?

Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This is then used to track a visitor’s use of our website and to compile statistical reports on user activity and the overall website traffic activity and performance in Google Analytics.

What emails will I receive?
All updates on our product and service, latest news and events are sent by electronic newsletter. They will only be sent to the email address you have provided. All emails sent by us, Firefly, and will be clearly marked as originating from us. You will also find on all electronic communication clear instructions on how to unsubscribe from receiving our information electronically. You can also contact us at any point on the Contact Information provided above with your wishes to unsubscribe from our marketing communications.

In accordance with the Privacy and Electronic Communications Regulations (PECR), we never send bulk unsolicited emails, (popularly known as Spam) to email addresses. Nor do we sell, rent or exchange mailing lists with Third Party companies.

Access to your information and correction
You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please email or write to us including a cheque for £10 made payable to Firefly Learning LTD. We also want to ensure that your personal information is accurate and up to date. You can contact us to update or remove any inaccurate information.

The Firefly system


The Firefly system, and its associated mobile apps, are designed for use by schools and other educational establishments: their purpose is to enable safe sharing of information relevant to teaching and learning and to administrative processes within the school. Firefly's customers are the schools who license the core Firefly learning platform.

The Firefly system may be installed and operated by the school. Alternatively it may be hosted on the school's behalf by Firefly Learning, and in this case we accept responsibility for the physical safety and security of the data. In both cases, however, ownership of the data rests with the school.

Schools may choose also to deploy the Firefly mobile apps, but these apps are dependent on information from the central system; they may be freely downloaded to an individual's mobile device, but are not useful without authorised access to a school Firefly system.

To fulfil its purpose, the Firefly system (and sometimes the mobile apps) need to store, or access from other school systems, personal information relating to teachers or students.

What is Firefly's policy?

To ensure that we comply with all relevant law – particularly the Data Protection Act 1998 (DPA) in the UK and the Privacy Act 1988 in Australia – and to do so without unreasonable inconvenience to our customers (the schools) or their students and staff.

What Personal Information might Firefly hold?

This depends on how a school chooses to use the system, but might typically include

  • Full name
  • Unique ID
  • Gender
  • Date of Birth
  • School name
  • Attendance
  • Attainment reports
  • Behaviour
  • Parent name

How is that Personal Information used?

It is made available to appropriate authorised users within the school community as part of the school's teaching and learning processes. The Firefly system includes extensive facilities for controlling who has access to what information, so that appropriate controls may be maintained.

When is Personal Information disclosed to third parties?

Firefly will only disclose personal information to other parties in very limited circumstances:

  • where we are legally obliged to do so, e.g. to law enforcement and regulatory authorities
  • where there is a duty to disclose in the public interest
  • where the school gives us permission to do so

We will never disclose Personal Information for marketing or other commercial purposes.

How can users know what is stored?

This is a matter of school policy and varies from school to school: students, staff and parents may all have different entitlements. Firefly has extensive facilities to allow a school to make information available in accordance with its policies.


The Firefly applications may collect anonymous data about how you use our services in order to help us improve future functionality using tools such as Google Analytics and Heap Analytics. No data that personally identifies an individual (such as a name, email address or billing information) is tracked, collected or uploaded. Firefly may collect and report on the adoption and usage of specific features, crashes and exceptions and other useful, anonymous metrics.
