Personal Assistant

About the role

The role will provide dedicated Personal Assistant support to Firefly Learning’s two Founding Partners.  In addition there is also a requirement to provide administrative support to the wider Firefly Leadership Team on an on-going, ad hoc basis.  This is a full-time permanent position based at our offices in Hammersmith.

Responsibilities

  • acting as a first point of contact, dealing with correspondence and phone calls
  • managing diaries,organising meetings and appointments and providing appropriate briefings and reminders
  • attending and minuting weekly Firefly Leadership Team meetings
  • preparing of monthly board packs
  • organising, attending and minuting monthly board meetings
  • responding to queries, conducting research and leading occasional research on behalf of the Founding Partners
  • booking and arranging travel, transport and accommodation for the Founding Partners and members of the Firefly Leadership Team (flights, hotels, visas etc.)
  • preparing team weekly updates, reports, presentations and correspondence
  • liaising with Firefly team members, external partners and clients on behalf of the Founding Partners
  • collating and filing expenses

  • exceptional organisational skills and the ability to multitask
  • the ability to be proactive and take the initiative
  • tact and diplomacy
  • knowledge of standard software packages and the ability to learn company-specific software if required
  • previous PA/EA experience  
  • project management experience (a plus)
  • Previous experience of working in a tech startup environment is beneficial
