The role

The Events Marketing Coordinator  is responsible for Firefly’s events and Firefly’s presence at external conferences, exhibitions and tradeshows. This is a vital role in the marketing department, with over half the budget being spent on events.

Firefly produces events in the UK, in Australia with support from its Sydney office, and internationally. This includes a flagship UK event, and a number of smaller regional events. Some events will cater for existing clients, others for prospects, or a mix of both. Due to the volume and geography of events, the majority are managed remotely from our London office.

In turn, Firefly attends external events throughout the year to drive leads and brand awareness, these may require exhibiting, sponsorship or speaking opportunities.

This role is responsible for all event lifecycles, and will work closely with the rest of the marketing team and other stakeholders in the business. The role reports into the Marketing Manager.

Key Responsibilities

  • Handle the entire process for tradeshows, exhibitions and other lead generation events which Firefly attends

  • Responsible for Firefly’s annual flagship conference for prospects, including delegate management, speakers, online registration and information portal, and liaising with other stakeholders (internal and external)

  • Manage from idea to delivery Firefly’s three annual in-house client events

  • Analyse the success of events and identify areas for improvement

  • Negotiate with third party stakeholders, such as venues and suppliers

  • Collaborate with the marketing team to create compelling content and promotional strategies

  • Pay close attention and input to a rolling budget forecast

  • Lead the department’s use of our event management tool (Cvent)

  • Control Firefly’s UK marketing collateral stock and reorder as required.


  • Strong communicator, written and verbally - much of this role is dealing with stakeholders and suppliers

  • Experience in all aspect of the full lifecycle of events and conferences

  • Able to juggle and prioritise multiple projects at the same time (approximately 35 events annually)

  • Quick to react to the unexpected or make effective changes as and when required

  • Understand how events fit into a company’s wider marketing output
